We are seeking a creative and detail-oriented volunteer to manage and enhance SPES’s photography and media resources. Initially, this role will focus on addressing a significant backlog of media files from 2020 onward, ensuring proper organization, tagging, and consent compliance. A major responsibility will be selecting and implementing a new, cloud-based database system to replace our outdated Flickr platform. Once the system is in place, the role will shift to ongoing maintenance, ensuring that the database remains up-to-date and organized. This is a unique opportunity for individuals with strong organizational skills and experience in media or data management with an interest in supporting conservation efforts.
Role Overview
Database Management
- Evaluate and recommend a new cloud-based photo and video storage solution (e.g., Dropbox, OneDrive) or a digital asset management platform to replace the Flickr system.
- Organize and sort a backlog of media files from 2020 onward, ensuring that all content is properly tagged, named, and categorized.
- Transfer existing Flickr and Lightroom archives to the new system.
- Create and enforce consistent naming conventions and metadata tagging for easy search and retrieval for organizational needs.
- Develop a simplified process for staff and volunteers to upload photos, ensuring consistency and usability for everyday users.
- Ongoing maintenance of the new database (e.g., Dropbox/OneDrive), ensuring a well-organized tag system and folder structure by year, event, and subject.
- Maintain and manage a temporary upload folder for new media, sorting and finalizing uploads on a regular basis.
- Ensure compliance with SPES’s photographic policies and standards by verifying that all uploaded images have proper consent when required. Maintain up-to-date records of consent forms and ensure secure storage.
- Support historical image organization, including research and digitization where needed.
Collaboration and Education
- Collaborate with SPES staff to align database practices with organizational communications and program goals.
- Provide training or guidelines for staff and volunteers on uploading photos, applying metadata, and following ethical media practices.
Media Creation (Optional)

Qualifications
- Experience or interest in media or data management.
- Familiarity with cloud storage platforms (e.g., Dropbox, OneDrive) and organizing large media archives.
- Strong attention to detail and ability to maintain consistent naming conventions and tagging systems.
- Familiarity with photo editing tools like Adobe Lightroom (for basic batch edits or metadata tagging).
- Willingness to learn and adhere to SPES’s photographic policies and standards.
- Understanding of consent and release form management for media use is an asset.
- Strong organizational and problem-solving skills, with the ability to work independently.
Time Commitment
Approximately 10-20 hours per month. Tasks can be completed remotely, with occasional communication or collaboration meetings.
