Office Coordinator / Bookkeeper


Stanley Park Ecology Society (SPES) is a community-based not-for-profit organization with a mission of collaborative leadership in environmental education, research and conservation in Stanley Park.  We are seeking a highly motivated, highly organized individual for full cycle bookkeeping, reception, manage office systems, and to support program staff with a diversity of tasks. Reporting to the Executive Director and working from the second floor of the historic Stanley Park Dining Pavilion, this is a core, fulltime position of the society.


Duties include to:

  • Enter, maintain, reconcile financial revenues and expenses with QuickBooks 2012 accounting:  revenues and expenses, accounts payable and receivable, journal entries
  • Enter and reconcile revenues from multiple third party platforms
  • Ensure accurate grants job tracking on the books, as directed by managers
  • Make and reconcile bank deposits; provide timely data and reports for regular E.D. and Treasurer reports
  • Handle GST filing, PST, WCB;  populate the Charitable Tax return
  • Prepare and document Payroll for outside sourcing; code and track payroll internally on QuickBooks.
  • Handle off-site mail receipt and postal delivery;
  • Maintain administrative files
  • Secure and maintain office supplies and equipment
  • General Reception for the society – phone and in person
  • Act as Privacy Officer for the society
  • Administer membership renewals, populate membership database; assist with applicable reports
  • Work with the Fundraising Specialist to recruit, orientate, and schedule staff for the society’s seasonal popcorn stand fundraising operations; Work with Volunteer Coordinator to recruit and oversee volunteers as applicable
  • Coordinate popcorn stand inventory and equipment



  • Solid understanding of and proven experience in basic accounting; Strong bookkeeping skills, preferably in non-profit setting:  QuickBooks 2012
  • Strong English oral and written communication skills; strong reception and people skills
  • Computer skills: Word, Excel, Access / database;  InDesign an asset
  • Highly organized, accurate, flexible, efficient; attentive to details with the ability to manage multiple priorities
  • Self-directed, self-motivated, a creative solution-seeker
  • Value the environmental mission of the organization
  • Maintain confidentiality of information 
  • Class 5 Drives License an asset 

Hours: permanent full time: 35 hours per week

Pay: $19-$21 / hour
